PART-TIME OFFICE CLERK 

GENERAL STATEMENT OF DUTIES: 

The primary purpose of this position is to provide receptionist duties for City Hall.   The Clerk is responsible for front desk operations of City Hall, processing and balancing daily revenues, posting utility payments, processing court documents and providing excellent customer service.  

 ESSENTIAL JOB FUNCTIONS:

Responsible for receptionist duties for City Hall such as excellent customer service while assisting citizens at the counter, answering the phones for all city departments, and processing city revenues.  Provide back up support as approved by the City Recorder to the City Department Heads and Administrative Assistant.   This person has to have a functional knowledge of computers, and Microsoft Word, Excel, and Outlook Software. It is essential to learn computer software pertaining to Utility Billing.   

SUPERVISION RECEIVED: 

The Part-time Clerk/Clerk of Courts reports to the City Recorder.  In the absence of the City Recorder the Clerk will report to the Administrative Assistant. 

DUTIES: 

The Clerk carries out various duties as workload and staffing dictate, the following list highlights areas of responsibility for the Clerk. 

1)      Responsible for:

 

a)      Perform billing of utility accounts and maintain all necessary records.

b)      Audit accounts.

c)   Prepare and process daily cash receipts and cash flow reports.

d)  Correspondence for Utility Accounts.

e)   Answer phones using proper phone etiquette and record messages for City staff.

f)    Issue Dog licenses and maintain license and impound records.

g)   Recording and coordinating the use of the Pilot Rock Community Center, Council Chambers and the City Park.

h)   Process citation payments.

I)    Batching invoices for payment.

k)   Filing and record retention as assigned.

​l)    Perform duties in library as needed 

 

JOB REQUIREMENTS: 

An employee in this position is expected to have the following skills and qualifications:           

            1.  High School Diploma or GED.

            2.  Must pass a written examination and practical tests.

            3.  Proficiency on computers, with Word, Excel and the internet.

            4.  Ability to balance accounts and financial work sheets.

            5.  Ability to be certified as a notary public of Oregon within 6 months.

 

​This part time position has flexible hours during Mon-Fri 8am-5pm
